RE:

February 10, 2015 City Commission Meeting

Background

Twenty-seven of the Lawrence Police Department’s computers need to be replaced.  This purchase would eliminate Windows XP, which is considered a security risk, from the computing environment at the Lawrence Police Department.  These computers would be used in a variety of locations, including Evidence, Accident Investigation, and Criminal Interdiction.  The purchase would come from Dell, who is a sole-source vendor through State of Kansas contract #WN10ACA for a total cost of $27,697.39.

Project Description

The remaining computer systems running Windows XP need to be replaced.  The hardware in these computers is not adequate to upgrade to Windows 7, and the KBI is requiring law enforcement agencies that utilize their secure systems to phase Windows XP out to maintain compliance.  The overall purchase includes twenty-seven desktop computers.

Funding Sources

The necessary funds to cover the costs of replacing the desktop computers ($27,697.39) could be procured from the 2015 general fund equipment line item.

Staff Recommendation

Police Department staff requests approval from the City Commission to authorize the purchase of 27 workstations from Dell as a sole source vendor through State of Kansas Contract #WN10ACA for a total cost of $27,697.39.
