RE:	Annual OnBase Software Maintenance

Overview

Since 2005 many departments within the City of Lawrence have used Hyland Software’s OnBase software, an electronic content management (ECM) software solution, to store electronic records.  OnBase is intended to be a long-term record storage and retrieval system for departments to store scanned files and files of virtually every file type.  Finance, Planning & Development Services, the City Clerk’s Office, and Municipal Court are primary users of the OnBase system.  The annual maintenance also covers product upgrades and updates, and technical support.  The cost for annual maintenance is split among the user departments.

Recommendation

The Information Technology Department recommends approving the payment of $15,314 to Information Access Systems, Inc. for annual maintenance for the OnBase software and installed modules.
